Star Marketing is a small marketing agency that manages a wide network of freelance individuals in the development of ads, web sites, editorials, PR releases, trade show booths and more. The Project Manager is the hub of all projects, interfacing with vendors, internal staff and clients. As the first point of contact, the Project Manager must have excellent communication skills via phone and email, be highly organized, and demonstrate good judgment. A working background in print production and understanding of web site development is required.
Project Management Role
Receive new projects from AE. Evaluate w/AE and determine detailed project tasks.
Create initial project timeline.
Contact development team members and discuss their roles and timeline.
Revise tasks/timeline (if needed), get AE input (if needed) and forward tasks to development team members. Enter tasks into internal project management system.
Track daily progress of each project. Setup daily hot list (all projects) and coordinate completion of all projects according to timelines.
Meet with AE periodically with updates – get input. Relay changes to development team.
Provide concepts, layouts, copy, etc to AE for presentation to clients. In some cases, present to client with AE approval.
Record all budget items and internal costs onto internal forms.
Production Role
Proofread final files. Check for correct file type and specifications.
Notify AE that files are correct and ready for production.
Forward to vendors for production (printers, magazines, broadcast media, etc).
Follow up w/production to insure project is produced according to specs.
Coordinate delivery to client (if needed).
Record all budget items on internal paperwork (such as invoices from vendors).
When completed, forward completed internal paperwork to accounting for billing to client.
File completed project folders.
Skills Required.
Minimum two years experience coordinating production in a marketing agency, advertising agency, print publication or related organization.
Training in the use of Adobe Photoshop, Illustrator, Acrobat, and Microsoft Office.
Clear understanding of web site development issues. Experience with Macromedia Dreamweaver preferred.
Excellent written and telephone communication skills.
Strong problem solving, analytical, organizational, and mathematical skills.
